United States Military Academy

As one of the most prestigious institutions in the country, the United States Military Academy (USMA) at West Point plays a critical role in shaping the future leaders of the U.S. Army. With a highly structured admissions process and a powerful network of over 1,000 volunteer admissions representatives known as the Field Force, USMA needed a centralized digital platform to support, organize, and empower these volunteers.

Approach

VisionPoint’s partnership with USMA covered an array of CRM process and communication efforts, including a communication plan, lead nurturing content development, and CRM dashboard setup. But the most unique aspect of the project was the creation of a custom Field Force portal.

USMA had an existing Field Force system and a clear vision for migrating that experience into Slate, and our role was to bring that vision to life. We focused on translating their requirements into a functional, intuitive system that aligned with Slate best practices while preserving the familiarity and functionality their volunteers were accustomed to.

The portal we built became a comprehensive, personalized hub for Field Force members. Through a custom dataset architecture, volunteers could be linked to one or more congressional districts – critical given that nominations to West Point are typically tied to a student’s district representative or senator. This complex one-to-many relationship required innovative logic and dynamic filtering tools to ensure each user saw only the student records relevant to their assigned region.

The portal included a wide array of features:

  • A Current Applicants tab, enabling district-based searches, exports, and deep access to individual applicant records.
  • A Resources section with downloadable training materials, feedback forms, and requests for admissions materials.
  • An Events Map powered by the Slate event widget, allowing Field Force members to find and register for trainings or admissions events.
  • A robust Inventory Request System built with another custom dataset, an inventory request entity, and a form with replicate blocks to request, track, and fulfill printed materials, automatically updating inventory via overnight exports.

From role-based access for district coordinators to custom views and automated workflows, every detail was intentionally designed for clarity, usability, and scalability. And because of the flexible infrastructure we created, this portal became a model for future external-facing systems.

Results

The impact of the system has already been significant. More than 1,000 Field Force members now rely on this centralized platform to conduct outreach, support applicants, and request the tools they need – seamlessly and efficiently. The architecture has proven reusable, with adaptations already underway for other audiences such as coaches and ambassadors.

By creating a dynamic, user-friendly, and scalable portal system from day one, VisionPoint helped USMA lay the groundwork for a more agile and efficient admissions operation – one that honors the Academy’s traditions while embracing digital transformation.
